The Opportunity
As we continue to expand our reach, we are looking for an energetic and passionate leader to join our Operations team and lead our second market, San Francisco. In this role, you will manage the people and processes that will be critical to our continued success.
As the San Francisco Operations Lead, you’ll be responsible for overseeing all aspects of our clinic operations in San Francisco and ensuring that our clients have an incredible experience and feel supported by our care. This is a unique opportunity to get in on the ground floor of a fast-growing startup that is positioned to change the way people talk about accessing mental health.
Reporting to the SVP of Operations, the ideal candidate is an innovative problem-solver with a strong attention to detail. You are naturally curious, a continuous learner and enjoy rolling up your sleeves and getting into the details as well as zooming out to focus on the big picture. You love working with people and enjoy solving messy problems that don’t have a clear answer. You also love being head’s down analyzing data and creating policies and procedures to ensure consistent process. And you are the type of person who is always trying to improve process, wherever you are and are relentless about finding new solutions to problems. This role is extremely cross-functional and will be working closely with our clinicians, marketing and product and engineering teams.
Key Responsibilities
First and foremost, ensure clients have an amazing experience - that they have timely access to the care they need and that their issues are resolved quickly and with a mindset of hospitality. Most of this will be done via email so excellent writing skills and the ability to manage different priorities are must-haves.
Manage a small team (1-2 people initially) of operators who will be focused on administrative support of our west coast clinics, which includes responding to client inquiries about scheduling, billing and insurance
Manage facilities for our clinics on the west coast
Collaborate with the clinic directors and the recruiting team to support hiring and onboarding of clinicians
Deliver a great employee experience through excellent onboarding, training, performance feedback, skills coaching, learning opportunities and engaged career development
Spread the world about Octave and build relationships with physicians to drive referrals to our clinics
Create weekly reports on clinic health to manage client satisfaction, utilization, quality and other key performance indicators (KPIs)
Partner with other Operations team members to problem-solve, innovate and drive consistency where needed
