What is CariClub?
CariClub is a NYC-based B2B SaaS platform that connects young professionals at top-tier Fortune 500 companies with board member opportunities at nonprofits. We have launched in NYC & SF and plan to expand to Boston, Chicago, and D.C. in 2018.
What are we looking for?
The Chief of Staff (“CoS”) position directly supports the Founder & CEO, ranging in scope from the oversight of the smallest detail to a big picture understanding of long term business goals.
The ideal candidate is a creative problem solver who won’t take no for an answer, that can anticipate company needs, and is an ambitious self-starter who isn’t afraid to ask questions. The CoS will perform duties that can have an effect on the success the business, such as helping with marketing research, training staff, and scheduling important meetings. Assignments involve work of a confidential or complex nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgment, tact, and diplomacy as well as a practical knowledge of the practices and procedures of the function, general company policies, and programs.
The CoS is responsible for supporting senior-level tasks and communications while optimizing time, efficiency, and focus. The CoS must have the ability to organize a busy calendar, draft internal communications, and manage other projects, as assigned. You must be detail-oriented, resourceful, and able to manage multiple projects simultaneously; all while maintaining a professional, confidential, and positive attitude.

The Position
Responsibilities
Coordinate daily calendars, events, travel, phone calls, emails and appointments
of senior managers
Work with business heads to set goals, manage projects, and communicate progress to CEO, act as point of contact between executives and employees
Create regular reports and update databases
Respond promptly to managers’ queries
Facilitate internal communication (e.g. distribute information and schedule presentations)
Suggest more efficient ways to run the office and troubleshoot malfunctions
Review and recommend changes to our company policies
Field sales, investor, and general CariClub inbound communications
Dig into sales pipelines in CRM; review, update and analyze opportunity notes to
create a pipeline snapshot analysis report to keep the CEO informed
Proactively record all account activity within CRM database
Requirements
3+ years in a position assisting a C-level executive, utilizing the skills referenced above
Excellent written, verbal and interpersonal communication skills
Extremely detail and follow-through oriented (this cannot be overstated), a track
record of supporting multiple projects at once with tight deadlines
Experience working with social media and/or graphic design software is a plus
Solid experience with office management systems, CRM’s, project management
software, and MS Office
Familiarity with online calendars and cloud systems
Experience using office equipment, including printers and fax machines
Experience exercising discretion and confidentiality with sensitive company
information
Can work independently and as part of a team
Proven ability to problem solve and assume responsibility
Flexibility to travel as required by business needs
Experience working in a fast-paced, high performance environment
