The nitty gritty
The Center for New York City Neighborhoods is a growing and unique nonprofit with diverse fundraising, staff, and Board coordination needs. The Chief of Staff, along with the CEO/Executive Director, oversees various aspects of executive staff coordination and support, program development, staff communications, and Board of Director meeting preparation. The Chief of Staff is a critical member for the Center’s Leadership Team and plays an important role in the development of the Center. The Chief of Staff reports to the CEO/Executive Director.
Specific areas of focus for this position include:
CEO/Executive Director Support
Manage CEO’s calendar, appointment and speaking requests, and travel.
Schedule internal and external meetings, ensuring correct attendees are present from the Center.
Prepare CEO for external meetings, coordinating with the correct leadership team members for information, talking points, handouts, etc. as needed.
Prepare CEO for internal meetings.
Greet guests, prepare conference rooms for meetings.
Ensure follow-up on any meeting to-dos and schedule follow-up meetings as needed.
Review all external communications and ensure correct relationships are being maintained.
Draft correspondence for CEO.
Leadership Team Management
Set agenda for leadership team meetings and revise structure based on feedback or necessary changes.
Track necessary follow-up items from these meetings for the CEO and the Directors and Deputy Directors.
Brief additional leadership team members when needed and/or arrange for sub-meetings of the Leadership Team.
Assist CEO with Director and Deputy Director management and evaluation.
Coordinate between members of the leadership team on project management, scheduling, and other needs.
Assist leadership staff in setting up cross-organizational meetings.
Plan quarterly offsite meetings for the leadership team.
Attend Program Director meetings and bring any relevant information to the attention of the CEO.
Strategic Planning
Work with Executive Director and CFO to set short- and long-term organizational goals.
Develop program goals in collaboration with Directors and Deputy Directors.
Maintain organizational calendar and ensure most important and immediate goals are being prioritized.
Board of Directors Management
Prepare all Board meeting materials, with assistance from staff and legal department as necessary.
Draft all communications to Board of Directors.
Ensure Executive Director follows up on all Board requests.
Identify major organizational updates for the Board and draft correspondence accordingly.
Program Coordination and Special Projects
Assist CEO in managing the strategic impact assessment process.
Research and develop ways to improve internal communication and coordination across program initiatives.
Assist with incubation of new ideas.
Help operationalize any new programs.
Manage consultants and special projects as needed.
The ideal candidate will possess:
3-5 years of nonprofit, startup, management consulting or other fast-paced, demanding work experience.
Experience in business/organization development.
Ability to think strategically and operationally.
Strong written and oral communication skills.
The ability to build and manage relationships with staff members, leadership team, funders, board members, and other key constituents.
Exceptional organization skills, ability to meet deadlines consistently, and collaborate cross-functionally.
Interest in nonprofit management and demonstrated interest in the Center's mission.
Diplomacy, discretion, and high degree of trustworthiness.
A willingness and interest to take on a variety of tasks and a “no job is too big or too small” attitude.
